Your front desk answers the same WhatsApp questions all day: is Thursday free, how much is a blow-dry, can I move my four o'clock. Then a client does not turn up, and an hour of a stylist's, therapist's or doctor's time earns nothing.
This guide covers the right set-up for a salon, spa, barber, gym or clinic, reminder timing, Meta's charges since 1 October 2026, copy-ready Arabic and English templates, a no-show policy and the extra rules for clinics, with every source checked on 28 October 2026.
Which WhatsApp set-up fits a salon, spa or clinic?
A small team can run bookings from the WhatsApp Business app, but automatic reminders need the WhatsApp Business Platform (the API), which Meta charges per message, or booking software that sends them. Hoorax sells the last option in this table, so read it with that in mind.
| Set-up | Fits when | Reminders | Meta's charges |
|---|---|---|---|
| WhatsApp Business app | One branch, and staff can answer every chat | Sent by hand: Meta's features page lists scheduled broadcasts (select countries) but no booking calendar or per-appointment reminders | Outside Meta's per-message API pricing |
| Booking software plus WhatsApp | You already take bookings online | From the software, by SMS, email or WhatsApp, depending on the vendor | Ask the vendor how WhatsApp reminders are billed |
| Meta Business Agent | Routine questions, if your account has access | Meta says it "Books appointments and qualifies incoming leads" (Meta), not that it sends reminders | Free to start; on the API, USD 2.00 per million tokens, about 4 to 5 US cents a message (Meta) |
| Your own assistant on the API, linked to your calendar | Many chats, two languages, bookings after hours | Automatic, as approved utility templates | AED 0.0576 per reminder to a UAE number |
Our guides to the WhatsApp Business app versus the API and what a WhatsApp AI assistant costs to build and run go deeper on the first and last options.
How should a booking work inside the chat?
A good WhatsApp booking collects a few details, checks one calendar, confirms in writing at once and asks permission for reminders, all in the customer's language:
- Greet. Use the app's greeting and away messages, or your assistant's first reply, to give your hours and say when a person will answer.
- Ask only what you need: service, day and time, preferred staff member and a name. Clinics should not ask about symptoms.
- Check one calendar, the one your staff use, so no slot is promised twice.
- Confirm at once, while the customer is still in the chat (templates 2 and 3 below).
- Ask for reminder permission. WhatsApp's Business Messaging Policy requires "opt-in permission from the recipient confirming that they wish to receive subsequent messages or calls from you". Meta's opt-in guide says to "clearly state the business's name" and suggests separate opt-in per type of message, so ask about reminders and offers separately.
- Take deposits by payment link, and keep ID numbers out of the chat. The policy says "Don't share or ask people to share full length individual payment card numbers, financial account numbers, personal ID card numbers, or other sensitive identifiers".
- Hand over when asked. Automated replies need "prompt, clear, and direct escalation paths", such as an in-chat transfer to a person or a phone number.
Our guide to whether AI chatbots are allowed on WhatsApp Business covers the rules for any AI. If you would rather not build this yourself, Hoorax builds WhatsApp booking assistants that handle these steps in Arabic and English after hours.
When should you send reminders, and how many?
Send one reminder about 24 hours before the appointment, with buttons to confirm or reschedule; in a 2026 preprint covering 475,214 appointments, that single reminder did most of the work.
| Study | Setting | Finding | Limits |
|---|---|---|---|
| Cochrane review, 2013 | 7 trials, 5,841 people, SMS reminders | Attendance 78.6% with reminders and 67.8% without (risk ratio 1.14); about as effective as phone calls | SMS, not WhatsApp; "low to moderate quality" evidence |
| Esteban et al., 2026 | 475,214 outpatient appointments, Buenos Aires public health system, WhatsApp | One reminder about 24 hours ahead worked best (risk ratio 0.76, about 8 points off a 34.6% no-show rate); 72 hours alone gave 0.91; a second, 72-hour reminder did not help attendance but raised cancellations | medRxiv preprint, not peer reviewed |
| AlSerkal et al., 2025 | Emirates Health Services primary care centres, UAE | 20.82% no-shows (14,038 of 67,429 booked appointments) from July to September 2022, and 10.25% after an AI risk model and dashboard guided coordinators | Before-and-after study with no control group; not a benchmark for salons or private clinics |
A schedule built on that evidence:
- At booking: the confirmation and the reminder opt-in question.
- About 24 hours before: the reminder, with Confirm, Reschedule and Cancel buttons.
- Two or three days before, only for bookings made weeks ahead or long treatments: an early reminder. In the preprint it did not cut no-shows further, but more patients cancelled, which the authors say may help when you actively refill freed slots.
When a slot frees up, offer it to customers who asked for an earlier time (template 8 below). Remind customers who do not use WhatsApp by SMS or a call. Count no-shows each month by service, staff member and weekday to see what works.
What do WhatsApp reminders cost after the October 2026 changes?
On the API, each reminder to a UAE (+971) number is a utility template costing AED 0.0576 as of October 2026. Since 1 October 2026, a confirmation sent as a template in an open chat costs the same, because Meta resumed charging for "Utility messages sent in response to users" (Meta pricing documentation). Rates are from Meta's rate tool, checked on 28 October 2026, and Meta says its current rate cards took effect on 1 October 2026.
| Message | Meta category | AED per message to a UAE number |
|---|---|---|
| Confirmation typed as a normal reply in an open chat | Service | First 1,000 a month per business number free, then 0.0576 |
| Confirmation sent as a template in an open chat | Utility | 0.0576 |
| Reminder the day before | Utility | 0.0576 |
| "Time to book your next appointment" | Marketing | 0.2115 |
| Any of these while the free window after a Click-to-WhatsApp ad is open (up to 7 days, if you reply within 24 hours) | Not charged | 0 |
| A reply written by Meta Business Agent on the API | Meta Business Agent | USD 2.00 per million tokens, charged even in the free ad window |
The reminder must be a template because free-form replies are allowed only inside the 24-hour window that "opens and resets with each user message" (WhatsApp policy). A "time to book again" nudge is marketing: Meta's categorisation rules put messages that "Promote or recommend offers, products, or services" in that category and add that these "are marketing even if requested by users".
Two illustrative months at those rates (example volumes, all to UAE numbers, not client data):
| Business | Reminders | Confirmations | Meta's charge |
|---|---|---|---|
| Salon with 500 bookings | 500 x 0.0576 = AED 28.80 | Typed in the chat, assumed to fit in the free 1,000 | AED 28.80 |
| Clinic with 2,000 appointments | 2,000 x 0.0576 = AED 115.20 | Sent as templates: 2,000 x 0.0576 = AED 115.20 | AED 230.40 |
Both totals are before any provider fee and before VAT where it applies. For a full month including offers and staff replies, see what a month of WhatsApp could cost a salon or a clinic.
Note: Keep reminders free of offers. Meta says a utility template "Must be non-promotional", treats mixed content "such as an order update with a promo" as marketing, and may apply "escalating restrictions" to a business "consistently misclassifying marketing templates as utility", including a utility message cap lasting at least 7 days (Meta).
Which Arabic and English templates can you copy for bookings and reminders?
These eight messages take a booking from opt-in to a missed appointment and a freed slot, followed by a no-show policy. Templates 2 to 8 avoid two common rejection reasons in Meta's template review guide: variables out of order, and a message that starts or ends with a variable. Have a fluent speaker check the Arabic before you submit it.
| No. | Message | Meta category on the API |
|---|---|---|
| 1 | Reminder opt-in, in the booking chat | Normal reply (service) |
| 2 | Salon or spa confirmation | Utility, or a normal reply |
| 3 | Clinic confirmation | Utility, or a normal reply |
| 4 | Reminder about 24 hours before | Utility |
| 5 | Deposit request | Utility |
| 6 | Missed appointment | Meta decides; keep it neutral, with no offer |
| 7 | Ramadan time change | Utility, only to customers with a booking |
| 8 | Earlier slot for a waitlisted customer | Meta decides; send only to customers who asked, with no offer |

After the visit, the natural next message is a review request; our Arabic and English templates for asking for Google reviews on WhatsApp cover that step.
What should your no-show and deposit policy say?
It should tell customers, before they book and in both languages, the notice you need, what happens to a deposit, how late is too late and how to reschedule on WhatsApp. Decide:
- Notice period: the shortest notice in which you can realistically refill a slot.
- Which services need a deposit: long, high-value or single-practitioner treatments lose the most.
- Late cancellations: whether the deposit is refunded, kept or moved to a new booking.
- Late arrival: how many minutes before a treatment is shortened or moved.
- Repeat no-shows: for example, a deposit on every future booking, or a call from your team before the next one.
Evidence on penalties is thin. A randomised trial at an orthopaedic outpatient clinic of a Danish public hospital fined missed appointments DKK 250 and found non-attendance of about 5% with or without the fine, concluding that at that baseline, fining "does not seem to further reduce non-attendance". A deposit is paid before the slot is held, so it differs from a fine, but none of the studies cited here tested deposits.
For the deposit link itself, our comparison of UAE payment gateway fees shows which providers suit businesses sending payment links.
Note: This is general information, not legal advice. Keep the wording neutral: Meta's template review guide lists "threatening a customer with legal action or threatening to publicly shame them" among its rejection reasons. Clinics should check their health regulator's rules and their insurer contracts before charging for missed appointments.
What must clinics do differently with patient data on WhatsApp?
Clinics should limit WhatsApp to logistics (date, time, branch, directions, rescheduling) and keep symptoms, results and treatment out of it, because UAE health data has its own federal law, which limits storing or processing it outside the country. The rules a Dubai clinic works within:
- Federal Law No. 2 of 2019 on ICT in health fields. Article 13 says health information and data "related to the health services provided in the State may only be stored, processed, generated or transferred outside the State in the cases prescribed by virtue of a decision issued by the Health Authority in coordination with the Ministry" (official English text).
- Health data sits outside the general privacy law. The Chambers 2026 UAE guide lists health-related personal data among the categories the Personal Data Protection Law does not cover, and points to Federal Law No. 2 of 2019 instead.
- DHA's patient data policy. DHA's Policy for Data and Health Information Protection and Confidentiality applies to "All Healthcare Entities under the Jurisdiction of Dubai Health Authority". It counts a person's name, telephone number, dates related to them (other than years), Emirates ID number and health insurance beneficiary number among the identifiers of protected health information, which "should not be transferred to a country or territory outside the UAE" except under the exemptions in Decision No. 51 of 2021 and with DHA approval.
- DHA's social media advertising standard. The Standards for Medical Advertisement Content on Social Media list WhatsApp as social media and tell medical directors to "Avoid social media discussions with patients who may disclose their health information".
- WhatsApp's own policy says "Don't use WhatsApp for telemedicine or to send or request any health related information, if applicable regulations prohibit distribution of such information to systems that do not meet heightened requirements to handle health related information" (WhatsApp policy).
In practice:
- Name the clinic or branch in messages, never the department, specialty or reason for the visit, and check Emirates ID and insurance cards at reception, not in the chat.
- Give reception a standard reply for patients who start describing symptoms: "Thank you. To protect your privacy, we do not discuss medical details on WhatsApp. Please call us on [number] or use our patient portal." In Arabic: "شكرًا لك. حفاظًا على خصوصيتك، لا نناقش التفاصيل الطبية عبر واتساب. يرجى الاتصال بنا على [الرقم] أو استخدام بوابة المرضى."
- On the API, ask your provider about Meta's local storage, which keeps message content at rest in a chosen country; the UAE is a supported region. Content can still be processed abroad for up to 60 minutes, so whether this meets Article 13 and DHA's policy is for your lawyer and DHA to judge.
- Get in writing from any booking or AI vendor where chats are processed and stored, and for how long.
- Outside Dubai, or in Dubai Healthcare City, ask your own health regulator which rules apply.
Note: This section is general information, not legal advice. Have your medical director and a UAE health lawyer review your WhatsApp set-up before patients use it.
How should bookings and reminders change in Ramadan?
Update your WhatsApp hours, away message and reminder times before Ramadan starts, and message every customer whose booking moves. For Ramadan 2026, MOHRE announced on 12 February 2026 a reduction of "normal working hours for private sector employees across the UAE by two hours per day", under the implementing regulations of Federal Decree-Law No. 33 of 2021 (MOHRE). Check MOHRE for the 2027 hours before Ramadan 2027, which the UAE's Astronomy Centre projects will begin on 8 February 2027, subject to moon sighting (The National).
The week before:
- Change the hours on your WhatsApp business profile, away message and assistant, in both languages.
- Move reminder send times away from iftar.
- Check every booking against the new rota and send template 7 to anyone whose time moves.
- Keep seasonal greetings out of utility templates; a greeting to everyone is not tied to a booking, so expect Meta to treat it as marketing.
Can someone set this up for you?
Yes. Hoorax is a web studio in Al Barsha 1, Dubai, that builds WhatsApp booking assistants for UAE salons, spas and clinics on Meta's official platform. The assistant answers in Arabic and English with your prices, sends your booking link or takes the booking, and hands the chat to your team when a customer asks for a person. If you agree it in the brief, it also sends confirmations and reminders from Meta-approved templates.
Meta bills its message fees to your own account. If you also want a booking page where customers book and pay into your own account, see our website design service; prices are on the pricing page. Send us a WhatsApp message with your type of business and how you take bookings today.
